1. Clinical Scope & Nature of Services
Genesis Medical Consulting provides specialist outpatient clinical psychiatry, clinical psychology, psychotherapeutic care, and psycho-medico-legal assessment services. By accessing our services, submitting an intake registration form, or attending an appointment, you agree to abide by these Terms of Service and Practice Policies.
2. GP Referral Requirement (Medicare)
In accordance with Australian Medicare (MBS) regulations, specialist psychiatric consultations require a valid, current referral from a registered General Practitioner (GP) or specialist medical practitioner. Consultations cannot be booked or claimed under Medicare rebate arrangements without an active referral on file prior to your appointment date.
3. Financial Policy & Payment Schedule
Genesis Medical Consulting operates an electronic billing system. All fee schedules, invoices, and payment receipts are issued electronically via email.
• Initial Consultations: Payment must be settled in full prior to the consultation commencing in order to confirm and secure the specialist clinical time slot.
• Follow-Up Consultations: Professional fees are strictly payable immediately following the completion of each consultation session.
• Telehealth Consultations: Fees must be fully settled prior to the scheduled virtual session start time.
• Medicare Rebates: Where eligible, our administration team will electronically lodge your claim with Medicare for direct rebate processing to your registered bank account.
4. Attendance & 24-Hour Cancellation Policy
Our consulting clinicians dedicate significant time and preparation for each reserved appointment. If you are unable to attend your scheduled consultation, you must provide at least 24 hours’ notice to allow the practice to offer the session to other patients on our clinical waiting list.
• Late Cancellation (< 24 hours notice): A cancellation fee of $200 for an initial consultation or $120 for a follow-up consultation will apply.
• Non-Attendance (No-Show without notice): A fee of $300 for an initial consultation or $180 for a follow-up consultation will apply.
• No Medicare Rebate: In accordance with Australian Department of Health rules, cancellation and missed appointment fees cannot be claimed under Medicare.
• Exceptional Circumstances: We understand that genuine medical emergencies and unexpected crises happen. Late cancellation fees may be waived at the sole discretion of the practice management in verified extenuating circumstances.
5. Medical Reports & Third-Party Documentation Notice
⚠️ Professional Report & Documentation Terms:
Standard consultation fees cover direct clinical assessment, diagnosis, and face-to-face treatment only. If a patient, legal representative, employer, or third-party insurer requires a formal medical report, comprehensive psychiatric summary, court report, or detailed clinical letter from the treating doctor, additional professional fees will apply, including Goods and Services Tax (GST).
Medical reports demand dedicated clinician time outside scheduled clinical sessions and are not subsidized under Medicare. Written fee estimates are available on request, and report fees must be settled prior to document release.
6. Compensable Claims (WorkCover NSW & CTP)
For consultations covered by WorkCover NSW or Compulsory Third Party (CTP) motor vehicle insurance:
- You must provide verified insurer details, active claim number, date of injury, and case manager contact information on your intake form.
- Written pre-approval from the insurer must be received prior to your initial appointment. If pre-approval has not been granted or if the claim is denied/disputed, you remain personally liable for consultation fees on the day of service.
